  • The Telephone Doesn’t Use Any Gas

Technology and data speed advances have made the use of web meeting technology a no brainer for even the smallest of businesses. In the fast paced world we live in, the ability to get a group of folks together online is such a powerful way to conduct business.

As more and more folks use this technology (and with $4/gl gas) it even starts to make sense for the local business to conduct meetings across town. Think about how many times you have jumped in the car, driven 30 minutes to make a 10 minute presentation, chit chatted for another 20 minutes, jumped back in the car for another 30 minutes and, let’s see – invested 90 minutes in that 10 minute presentation. As you utilize web and other tools such as web collaboration tools and teach your customers to use them as well, your effectiveness and efficiency will soar.

Now, I’m not suggesting that you never venture out and grab some face time, I’m just suggesting you can be smart about employing technology to help you get more done with the same 24 hours everyone has in a day.

Here are some great ways to use webinar or webcast technology

One to one seminar – When you create a webinar or sales presentation using a web technology you can invite someone who calls in to jump online and walk through the archived presentation on the spot.

Peer to peer seminar – Get two or three happy clients to agree to be panel members for a discussion about the problems in their business or industry and gently explain how your business or product is addressing this for them. The key here is transparency. Don’t let your guests sell. Make it a thoughtful, meaningful discussion among peers that you just happened to host.

Live with you – If you’ve got a workshop or seminar you are currently presenting, take it to a teleseminar. Invite clients and prospects to attend via the phone. Create an ongoing series and watch attendance climb.

Interview an expert – You would be surprised at the quality of guests from around the world you can convince to present to your clients and prospects. It’s a win for all involved. You get great content and the presenter may get added exposure for a book or other project with little time investment on their part.

Co-branded panel – Gather up a couple related businesses and put on a panel discussion on a hot topic. Everyone on the panel invites guests and everyone gets exposure.

Sponsored show – Go out and find a sponsor who would like exposure to your audience and allow them to promote in and around your teleseminars. For instance, if you are a CPA with a series of tax savings presentations for small businesses maybe a company that sell tax software would sponsor your sessions. There are lots of businesses out there that want to jump into this kind of marketing but don’t want to do it themselves. Give them the opportunity to help you.

Q and A time – Set a time each week, say Friday at 2 pm and advertise an open line to get your burning questions answered about a topic. Maybe it’s interior design trends, best software tips and trick for business or anything of interest related to your business. You promote the free time, hang out on the line and answer questions when they come in.

Another powerful benefit of systematically presenting information in events of this nature is that you can and should record the events and interviews you conduct and archive them on your website or turn them into an audio CD to distribute through other forms of marketing.

There are many choices for web meetings these days. Let me know what tools you have found and what ones you like and don’t like.

    • Hi John! About 90% of my daily meetings are done on the phone walking someone through information or hosting/participating some type of conference call. I would agree with you the GoToMeeting and FreeConferenceCalls work great!

Another one I use a lot for 1 on 1 meetings is www.mikogo.com. Mikogo is free, super easy and has a very smooth launch for the participant. (I find some people get hung up on GoToMeeting) Another one to take a look at is www.yugma.com. Yugma also has a free version and it works on mac!

Hope the above adds to your great post!
    • Glad to see this advice, John. I'm amazed that small businesses have that utilize this technology as effective as it could. The comments I've seen on other post about webinars is how boring and uninteresting, they are.

However, I am in total agreement with you, that is a great way to communicate with your customers and possibly even solve problems if your service department uses this technology. Can you imagine, your service department using this technology for several years, and posting their recording of the sessions. Now maybe you wouldn't want this for your general public. But then, what they're selling tool, could you have?

I think the possibilities for small businesses and this type of technology is endless. Thanks again for the post coming from you may change the minds.
    • Great Post John,

Saving time and saving gas is just getting easier by the day. One area that I have really seen change is the courier industry and mailing documents. Obviously a lot of businesses are hindered on what they mail and e-mail by HIPPA and financial standards. But there some really cool, document storage and collaboration tools out there that allow you to securely share and store all your documents without using e-mail, snail mail or courier services. I am thinking of . I just launched a week or two ago at DEMOfall08 and it is really cool. It also offers free accounts, so feel free to try it out.

Thanks for all your writing and keep up the great stories.

@Joe - thanks and I agree this is way underutilized. I really appreciate your participation and great comments here on the blog as well.
    • Hi John,

As Alan mentioned above, Mikogo is a great option when looking to collaborate over the Internet.
Mikogo is a free online meeting tool, where you can share your screen and invite up to 10 participants. Great solution for Web presentations, remote support, online meetings, and group Web collaboration.
We also just officially announced the release of the Mikogo Skype Extra, providing free screen sharing and calls together.
Please pay our site a visit, and see how Mikogo can save time, gas, and money. Feel free to contact me if you have any questions.

@ Alan, thanks for mentioning Mikogo. Glad to hear you're enjoying the tool.

      Regards,

      Andrew

John, I agree with your point about posting the marketing recordings to your website. This is an excellent opportunity for adding valuable content to a site and for adding depth and texture to a website beyond mere text/images.

Also, depending on the recording and its intended audience, you can distribute your content via YouTube, Metacafe, and appropriate industry sites.
    • Hi

Just wanted to add that I use a great tool called Golden Mail (www.goldenmail.com) which can give a voice over presentation via email. It does cost $10 a month, but in my opinion excellent way to communicate with my clients!

Great posts on here - thanks for posting and will be checking back!

Though face-time is a necessity, some of my clients really appreciate the option of doing "quick" meetings using web conferencing. I've been using Yugma for the last few months, one of my clients turned me onto it, it is much cheaper than GoToMeeting and they have fully supported Mac's for quite some time. Mikogo looks interesting, I might have to give that one a try too!
    • What great resources here. I have also been playing with dimdim lately - like gotomeeting, except it uses pdf or ppt for sharing. I haven't fully explored it yet, but it seemed pretty simple and easy.
    • John,

An excellent and very poignant post. In these times of ridiculously high gas prices a faltering economy, I'm sure many of us are looking at ways to minimize on costs as much as possible. I work for Glance Networks, where we produce a screensharing and webconferencing program called Glance. Many of our customers tell us that they were originally driven to try online meeting software because of high travel expenses, and when they saw how simple and dependable Glance is, decided to stick with it. Online meetings are definitely revolutionizing the way people get work done, and we're happy that we're able to provide a service to simplify people's lives. I'd recommend you check us out, and in the meantime, keep up the great writing!

      Thanks

    • I'd much rather use the telephone or skype or video conference all the time. Nothing, however can replace that first one on one meeting when getting a new client.

But after that, I try to always use technology.

    • We have been using AccuConference for both audio only and also for video conferences. No problems and great staff.

    • I have read this post. This is very much true. Even I own a blog account on video conferencing. Video conferencing is indeed a great innovation in technology and communications. One day video conferencing will be like an ordinary house-hold item in the next 5-10 years.I will mention your post in my blog.
    • I’ve heard about Courts using video conferencing technologies especially in the rural areas and villages. Even though it’s an expensive approach but it’s a great way for developing these areas.
    • Sitting with the doctors in a room and talking with other doctors via video conferencing was very exciting for me when I first time sat for a meeting. I first felt like a movie going on until when one of the doctors asked me for my comments. It was really weird and exciting.

Those are very good tools, however, in many cases those platforms are used just to allow the team to review the same document together in real-time and "be on the same page".
The recently launched free site http://www.showdocument.com does exactly that, quickly show documents to friends and colleagues.
It allows web meeting and co-browsing on any document, user uploads a document and invites friends to view it with him live
All the participants in the session see each others' drawing, highlights, etc.
